How do I select a specific HubSpot list to verify?

HubSpot exposes contacts in three list shapes through the API: the meta-list All Contacts, Static lists (manually curated, fixed-membership), and Active lists (dynamic, filter-defined). Opening the picker

  1. Open Integrations from the VEC sidebar.
  2. Find the HubSpot row in Connected Integrations.
  3. Click the three-dot menu and pick Sync Now.
  4. A modal opens with the HubSpot logo, the connection name, and a searchable list of every list visible to the OAuth grant.
  5. Pick exactly one row using the radio button.

List flavors in HubSpot

  • All Contacts — your entire HubSpot contact database. Useful for a one-off full-account cleanup. Expensive on large HubSpot portals; consider segmenting instead.
  • Static lists — fixed-membership lists you built manually or imported. Members do not change unless you edit the list.
  • Active lists — dynamic lists defined by filter rules ("Last activity date in last 7 days", "Lifecycle stage = Customer"). Membership changes as contact properties change.

The picker shows the list type next to the name so you can pick the right one at a glance. The subscriber count for Active lists reflects current membership at the moment of the API call.

Sizing the cost

The credits-needed line at the bottom of the modal uses the HubSpot member count. Duplicate removal (on by default) reduces the actual spend. Unknown-status results refund automatically. For a 100,000-contact All Contacts run, expect actual credit consumption in the 85,000-95,000 range after these adjustments.

Active lists are the hygiene power tool
For monthly cleanups, build an Active list filtered to "Create date is in the last 30 days." Verifying just the newcomers is cheap and catches the worst additions before they damage your sender reputation. Pair with the cleanup defaults in the action-options FAQ.

Refreshing list data

Click the refresh icon at the top of the modal. VEC re-queries HubSpot and updates member counts in place. Use this after editing list filters or running a large import.

After picking the list

Below the picker, choose Verify Only (default — HubSpot data untouched) or Clean List Automatically. The second option opens the per-category settings panel. Hit Import List, and you are redirected to Uploads & Results where progress updates in real time.

Troubleshooting

  • List missing — the HubSpot OAuth grant might not include the scope for that list type. Disconnect and reconnect to re-authorize.
  • Member count zero — empty list or an Active list whose current filters match nothing. VEC blocks the Import button on zero-member lists.
  • All Contacts shows much higher count than expected — HubSpot counts every contact in the database, including unsubscribed and deleted-but-archived contacts. Use a Static or Active list for a tighter scope.
